Getting paid
How you actually get paid.
PayPilot chases the invoice and writes the reminders. Polar moves the money. Here's exactly how it works — and why not a cent of it ever passes through PayPilot.
Your client
Pays by card from the email
Your Polar
The payment lands in your balance
Your bank
Withdraw when you want
From setup to paid, step by step
01Connect your own Polar account
PayPilot links to your Polar account — not a shared one. Polar is the payment platform that actually processes the card and holds your balance. Your money always lands in an account that belongs to you.
02Verify your identity once (KYC)
One-timeBecause real money moves, Polar asks you to verify your identity and business details — the standard “KYC” check every payment provider requires. It takes a few minutes, you do it once, and you never have to think about it again.
03Add your bank account
One-timeTell Polar which bank account to pay you into. This is where your withdrawals will go. Set it once during setup.
04PayPilot builds a payment link for every invoice
When you create an invoice, PayPilot writes the reminders and generates a secure Polar payment link, then embeds it in each email it sends on your behalf.
05Your client pays in one tap
Your client clicks the link and pays by card — no Polar account, no sign-up, nothing to create. One step, and they’re done.
06The money lands in your Polar instantly
The moment your client pays, the payment arrives in your Polar balance. PayPilot marks the invoice paid and stops the reminders automatically.
07Withdraw to your bank whenever you like
Your balance is yours to withdraw to your bank account on your schedule — daily, weekly, or whenever you choose.
What it costs
PayPilot takes nothing from your revenue.
PayPilot fee
$0 / 0%
We charge a flat subscription for the software — never a slice of what your clients pay you.
Polar payment fee
5% + 50¢ / payment
Polar's standard rate for processing the card and handling sales tax as merchant of record. Charged by Polar, not us.
Bank payout
Just Stripe's fee
Withdrawals use Polar's payout processor. Polar adds no markup — you only pay the small standard transfer fee.
Safe, secure, and yours
Polar handles the money under bank-grade security and PCI-compliant processing. PayPilot only schedules reminders and generates the link — it can never move, hold, or withdraw your funds. You stay in full control, start to finish.
