Terms of Service

These Terms of Service (the “Terms”) govern your access to and use of PayPilot (the “Service”). By creating an account or using the Service, you agree to these Terms. If you are using PayPilot on behalf of a business, you agree to these Terms on its behalf.
1. Who we are
PayPilot provides software that helps independent businesses send invoices and automatically follow up on unpaid ones. In these Terms, “PayPilot”, “we”, “us”, and “our” refer to the operator of the Service, and “you” refers to the account holder.
2. Eligibility and accounts
You must be at least 18 years old and able to form a binding contract to use PayPilot. You are responsible for the information you provide, for keeping your login credentials secure, and for all activity that occurs under your account. Notify us promptly at admin@trypaypilot.com if you suspect unauthorized use.
3. Free trial, plans, and billing
PayPilot offers a free trial. When the trial ends, continued use requires a paid subscription to one of our plans. Plan prices and included limits are described on our pricing page and may change on a going-forward basis.
Payments and subscriptions are processed by our third-party payment provider, Polar. Subscriptions renew automatically for the billing period you select until cancelled. You can cancel at any time; unless required by law, payments already made are non-refundable, and cancellation takes effect at the end of the current billing period.
4. Your content and your clients
You retain ownership of the information you add to PayPilot, including invoice details, client contacts, and message templates (“Your Content”). You grant us a limited license to host, process, and transmit Your Content solely to operate and improve the Service — for example, to schedule and send reminder emails on your behalf.
You are solely responsible for Your Content and for ensuring you have the right to contact the recipients you add. You represent that your use of PayPilot to message your clients complies with all laws that apply to you, including anti-spam and privacy laws.
5. Acceptable use
You agree not to use PayPilot to:
- send unsolicited, deceptive, harassing, or unlawful messages;
- upload content that infringes others’ rights or violates any law;
- attempt to breach, probe, or disrupt the Service’s security or infrastructure;
- reverse engineer or resell the Service except as permitted by law; or
- use the Service to send anything other than legitimate payment communications to your own clients.
6. Third-party services
PayPilot integrates with third-party services (such as Polar for payments and email delivery providers) to function. Your use of those services is subject to their own terms, and we are not responsible for their acts or omissions.
7. Intellectual property
The Service, including its software, design, and trademarks, is owned by PayPilot and protected by law. These Terms do not grant you any right to our branding except as needed to use the Service normally.
8. Disclaimers
The Service is provided “as is” and “as available” without warranties of any kind, to the fullest extent permitted by law. PayPilot is a tool to help you communicate with clients; we do not guarantee that any invoice will be paid, that any message will be delivered, or that the Service will be uninterrupted or error-free.
9. Limitation of liability
To the fullest extent permitted by law, PayPilot will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits or revenues, arising from or related to your use of the Service. Our total liability for any claim relating to the Service will not exceed the amount you paid us in the twelve months before the event giving rise to the claim.
10. Termination
You may stop using PayPilot and delete your account at any time. We may suspend or terminate your access if you breach these Terms or if we discontinue the Service. Provisions that by their nature should survive termination will do so.
11. Changes to these Terms
We may update these Terms from time to time. If we make material changes, we will update the date above and, where appropriate, notify you. Continued use of the Service after changes take effect means you accept the revised Terms.
