We collect information in the following ways:

• Account information — your email address, password (stored only as a secure hash), and business details you provide during signup.
• Content you add — invoices, client names and contact details, amounts, and the reminder templates you configure.
• Usage and device data — basic analytics such as pages viewed and actions taken, plus technical data like IP address and browser type, used to keep the Service secure and improve it.
• Payment data — handled by our payment provider, Polar. We receive your subscription status but do not store full card details ourselves.

We use the information we collect to:

• provide, operate, and secure the Service;
• send the invoice reminders and notifications you set up;
• process your subscription and trial;
• respond to your requests and provide support; and
• understand how the Service is used so we can improve it.

We do not sell your personal information, and we do not use your clients’ contact details for anything other than delivering the messages you configure.

We share information only with providers that help us run PayPilot, under agreements that limit their use of it. These include our cloud hosting and database providers, our email-delivery provider, our payment provider (Polar), and our product-analytics provider. We may also disclose information if required by law or to protect our rights and users.

We keep your information for as long as your account is active and as needed to provide the Service. When you delete your account, we delete or anonymize your personal information within a reasonable period, except where we must retain it to meet legal, tax, or security obligations.

We use administrative and technical safeguards to protect your information, including encryption in transit, hashed passwords, and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your data and to respond quickly to any incident.

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, or to object to or restrict certain processing. To exercise these rights, contact us at admin@trypaypilot.com and we will respond in line with applicable law.

We use essential cookies to keep you signed in and to operate the Service, and limited analytics to understand usage. You can control cookies through your browser settings, though disabling essential cookies may affect how the Service works.

We may process and store information in countries other than your own. Where we do, we take steps to ensure your information receives an appropriate level of protection consistent with this Policy and applicable law.

PayPilot is not directed to children, and we do not knowingly collect personal information from anyone under 18.

We may update this Policy from time to time. When we make material changes, we will update the date above and, where appropriate, notify you. Your continued use of the Service after changes take effect means you accept the updated Policy.
